Inclusion Junction is responsible for the personal information we collect and use.

Our internal Data Protection Policy already commits Inclusion Junction to handling personal data lawfully, fairly and transparently.
What information we collect
Depending on how you interact with Inclusion Junction, we may collect:
- your name and email address
- your organisation and job role
- information you provide when enquiring about training, leadership development or other services
- workshop and event attendance information
- requests for CPD certificates
- feedback and evaluation responses
- responses to questions about workplace or people-management challenges
- your preferences about receiving emails from us
- correspondence between you and Inclusion Junction
- financial and billing information where you purchase services from us
- information about how you interact with our website and emails, as explained below
Our existing Data Protection Policy already provides for the collection of contact details, organisation/job information, CPD attendance records and feedback.
Workshop and event forms
We may use online forms following workshops and events.
These forms may allow you to:
- request a CPD certificate
- provide feedback
- express an interest in training or leadership development
- request a conversation with us
- tell us about people-management challenges within your organisation
- choose whether you would like to receive future communications from Inclusion Junction
Where you request a CPD certificate, we may check your attendance against information held by the event organiser before issuing your certificate.
Questions asking about workplace or people-management challenges are optional.
Sensitive personal information
UK data protection law gives additional protection to certain types of personal information, including information about health, racial or ethnic origin, religious or philosophical beliefs, political opinions, trade union membership and sexual orientation.
We do not routinely ask you to provide this information through our workshop, feedback or enquiry forms.
Our existing Data Protection Policy also recognises that participants may voluntarily disclose sensitive information even when it has not been requested.
If sensitive information is provided unexpectedly, we will limit its use and, where it is unnecessary or we do not have an appropriate lawful basis and condition for processing it, delete or anonymise it.
Why we use your information
We use personal information for the following purposes:
Delivering workshops and CPD
To administer workshops, maintain appropriate attendance records and provide CPD certificates.
Responding to enquiries
To respond when you ask about training, leadership development or other Inclusion Junction services.
Providing contracted services
To arrange and deliver services you or your organisation have asked us to provide.
Feedback and service improvement
To understand the usefulness and impact of our workshops and improve future training and services.
Understanding client needs
To better understand the leadership and people-management challenges faced by the organisations and sectors we work with.
Keeping in touch
Where appropriate, to send leadership insights, information about events, training opportunities and Inclusion Junction services.
Our lawful bases for using your information
Depending on the circumstances, we may rely on:
Legitimate interests
where it is reasonably necessary to administer our workshops, respond to business enquiries, evaluate and improve our services, maintain appropriate business records and communicate with professional contacts. We consider these interests against your rights and interests.
Contract or steps before entering into a contract
where you or your organisation ask us to discuss, arrange or provide services.
Legal obligation
where we are required to retain, use or disclose information by law.
Consent
where we ask you to make a specific choice, including where consent is required for marketing or particular tracking technologies.
The ICO requires organisations to explain both their purposes and lawful bases in their privacy information.
Marketing and keeping in touch
We will not automatically add you to our email marketing list simply because you attend a workshop, request a CPD certificate, provide feedback or enquire about training.
Where consent is required, you will be given a separate choice to opt in.
For example, our workshop forms may include an unticked box allowing you to choose whether you would like to receive occasional Inclusion Junction emails.

The ICO says that where consent is used for electronic marketing it should be freely given, specific and informed, involve a clear positive action, and be separate from other matters.
Tally forms and European data storage
Inclusion Junction currently uses Tally to collect information through some workshop, feedback and enquiry forms.
For information you submit through an Inclusion Junction Tally form, Inclusion Junction is the data controller and Tally acts as a data processor on our behalf.
Tally is based in Belgium and states that form data is encrypted in transit and at rest and stored in Europe. Tally also provides a Data Processing Agreement for professional users.
We control the information collected through our forms and determine why it is collected and how long it is retained.
Website analytics
The Inclusion Junction website is hosted using Gamma.
Gamma provides built-in analytics which may include information such as:
- page or slide views
- time spent viewing content
- engagement
- unique viewers
We use this information to understand how people interact with our website and content and to help improve our website and services. Gamma describes these metrics as part of its own analytics functionality.
We do not currently have Google Tag Manager/Google Analytics or Meta Pixel configured on the Inclusion Junction Gamma website.
If we introduce additional analytics, advertising or tracking technologies in future, we will update this Privacy Policy and use an appropriate consent mechanism where required.
Cookies and similar technologies
Our website and the platforms used to provide it may use cookies or similar technologies for functionality, security or other purposes.
We do not currently use Google Analytics or Meta Pixel through our Gamma website.
Where we introduce cookies or similar technologies that are not strictly necessary and consent is required by law, we will provide an appropriate choice before using those technologies.
We will keep our use of website technologies under review and update this Privacy Policy where our practices change.
Email analytics
If you choose to receive emails from Inclusion Junction, our email service provider may provide information about how those communications are used, including whether an email has been opened and whether links in it have been clicked.
We may use this information to understand which content is useful to readers and improve future communications.
Some email platforms use tracking pixels or similar technologies to measure engagement. The ICO confirms that tracking pixels can fall within the PECR rules governing storage and access technologies.
Where consent is required for these tracking technologies, we will only use them where the appropriate consent has been obtained.
You can stop receiving our marketing emails at any time by using the unsubscribe option provided in our emails.
Who we share information with
We do not sell your personal information.
We may use trusted organisations to help us operate Inclusion Junction, including providers of:
- website hosting and website services
- online forms
- email and newsletter services
- customer relationship management systems
- secure cloud storage
- payment and accounting services
These organisations may process personal information on our behalf where appropriate arrangements are in place.
We may also exchange limited information with an event organiser where this is necessary to confirm attendance, administer CPD or deliver an event.
We may disclose information where required by law.
The ICO requires a privacy notice to identify recipients or categories of organisations that receive personal information.
International data transfers
Some of the service providers we use may process or store personal information outside the United Kingdom.
As explained above, information collected through our Tally forms is stored in Europe.
Where personal information is transferred internationally and legal safeguards are required, we will take reasonable steps to ensure an appropriate transfer mechanism or safeguard is in place.
We will update this Privacy Policy where material changes are made to how or where personal information is processed.
How long we keep information
We keep personal information only for as long as reasonably necessary for the purpose for which it was collected.
As a general guide, participant and client records may be retained for three years following the conclusion of a programme, workshop or contract, unless there is a legal, contractual or other legitimate reason to retain them for longer. This reflects our existing Data Protection Policy.
Feedback will be anonymised where reasonably possible.
Where you receive marketing communications from us, we will retain the information required to manage those communications until you unsubscribe, withdraw consent where applicable, or we determine that it is no longer appropriate to retain it.
We may retain a minimal suppression record where necessary to make sure we respect a request not to receive further marketing.
How we protect your information
We take reasonable technical and organisational measures to protect personal information against unauthorised access, misuse, loss or disclosure.
Our existing measures include password protection, appropriate access controls, keeping software updated and taking care when transferring information electronically.
Your rights
Depending on the circumstances and the lawful basis being used, UK data protection law gives you rights which may include:
- the right to be informed about how your information is used
- the right to request access to personal information we hold about you
- the right to ask us to correct inaccurate or incomplete information
- the right to request erasure of your information in certain circumstances
- the right to request restriction of processing in certain circumstances
- the right to object to certain uses of your information
- the right to data portability in certain circumstances
- the right to withdraw consent where consent is being relied upon

Automated decision-making
Inclusion Junction does not currently use automated decision-making that produces legal or similarly significant effects about individuals.

You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator.
